Photo & Video Policy

This policy explains how photography and video are handled in connection with events booked through BookItUSA (BOOKITUSA LLC). It forms part of our Terms of Service and applies to customers, their guests, and venues.

1. Photography and recording at events

Events booked through BookItUSA may be photographed or recorded by BookItUSA, by the Venue, by a photographer engaged for the event, or by other attendees.

By attending an event booked through BookItUSA, you acknowledge that you may be photographed or recorded. If you are booking on behalf of a group, you are responsible for making your guests aware of this policy.

2. Use of images and footage

Photographs and video from events may be used by BookItUSA and by the Venue for the following purposes:

• Promoting the Venue and its listing on the Platform.
• Marketing BookItUSA, including on our website, social media, and advertising.
• Illustrating the type of events a Venue can host.
• Internal records, training, and quality purposes.

Where we use such material, we do so without payment to those appearing in it, unless a separate written agreement says otherwise.

3. Asking us not to use your image

We want people to be comfortable. If you do not wish to appear in material used for marketing:

• Tell us before your event at contact@book-itusa.com, and we will note it on your booking and inform the Venue.
• Tell the photographer or Venue staff at the event.
• Ask us afterwards to remove a specific image, at contact@book-itusa.com, identifying the image and where it appears.

We will act on removal requests promptly for material we control. Material already published by third parties, printed, or reshared by others may not be fully retrievable, and material posted by other attendees to their own accounts is outside our control.

4. Photography by you and your guests

• Personal photography and video for your own use is generally welcome, subject to the Venue's rules.
• Some Venues restrict professional equipment, lighting, drones, or filming in certain areas. Check with the Venue in advance.
• Commercial filming, ticketed livestreaming, or filming for broadcast requires the Venue's written permission and may require additional insurance.
• Do not photograph or film Venue staff, other guests, or other events without their agreement.
• Do not film in private areas such as restrooms, changing areas, or staff-only spaces.

5. Content you share with us

If you send us photographs or video from your event, or tag us on social media, you confirm that you have the right to share that material and that anyone identifiable in it is content for it to be used. You grant BookItUSA a non-exclusive, royalty-free licence to use, display, and reproduce it for the purposes described in section 2. You may ask us to stop using it at any time.

6. Listing photography

Photographs shown on Venue listings are supplied by the Venue or taken by or for BookItUSA. Venues confirm they hold the necessary rights to any images they supply. Listing images are intended to represent the space fairly, but lighting, layout, and décor may vary between events.

7. Children

Where children are present at an event, the parent or guardian is responsible for deciding whether they may be photographed. We will not knowingly use identifiable images of children for marketing without a parent or guardian’s agreement.

8. Security cameras

Many Venues operate security cameras for safety and legal reasons. Those recordings are controlled by the Venue under its own policies, not by BookItUSA. Questions about security footage should be directed to the Venue.

9. Changes

We may update this policy from time to time. The “last updated” date above reflects the most recent version.
